Infusionsoft Tags – 5 Tips To Help Keep You Sane

Love them or hate them, Infusionsoft tags are probably one of Infusionsofts most powerful features. If you really want to make the most out of Infusionsoft, you need to know how to use its tagging ability. Getting it right  helps you stay organized instead of confusing you. It’s supposed to be a helpful tool, and it will be, if you approach it in a smart way – otherwise, you could end up with a big mess and create additional work for yourself.

Remember GARBAGE IN = GARBAGE OUT

Since you’re the one who’ll have to decide what’s important and what’s not – and choose to define your own tagging system – you may want to think it through prior to starting. These five tips will definitely help you make the most of the Infusionsoft tags and they’ll make your life much easier. Apply them to your own business and personalize them so that all the information will make sense even years later.

Tip #1 : Infusionsoft Tag Categories Are A MUST

Your Infusionsoft data could very easily and quickly turn into a useless pile of information (that used to be useful). To avoid this, use categories and group multiple tags that are in some way related. For example, if you attend different events on a monthly basis, name your category “Events” and have a few dated tags within it (“YYYY/MM/DD-Event name” is a good choice of format, more on that below).

When it comes to naming and sorting your categories, every business will probably need its own system, and that’s something you’ll have to figure out for yourself. Try to keep it as standardized as possible so you can find things easier across all Infusionsoft apps. Putting a number in front of the category is a useful little hack that’ll, again, give you the chance to choose what’s more important and put it ahead.

TIP #2 : Dating Your Infusionsoft Tags

Before you get confused…I don’t mean taking your Infusionsoft app out on a date, what I mean is…Infusionsoft sorts everything in alphabetical order by default. You can quite easily use this  “hack” to your advantage by putting a date in the beginning of your tags. This will make it easier to identify the time frame and it will save you the time when trying to locate different tags related to the same event. The most useful format would be YYYY/MM/DD (though the day is optional).

Logically, this only goes for some of your tags – customer lists, for instance, would probably just get more confusing if they had a date in them.

TIP #3 : The Loaded Gun – Trigger Tags

If you want to avoid embarrassing situations with your clients, you should consider using the word “trigger” in the end of every tag that triggers an action in the campaign builder. Let’s say you have a campaign that’s near to its end, and when it is finished, it triggers a new campaign. Adding “(TRIGGER)” to its name will remind you of it – for example, the tag could be “Long term nurture (TRIGGER)” and it can go in “Functions” category.

TIP #4 : The “Alphabeti Spaghetti” Infusionsoft Tag Hack

As mentioned before, Infusionsoft groups tags in alphabetical order (first by category, then by tag name). Knowing this, you can use it to your advantage and group everything in a way that suits you best.

You can choose to go from broader to more specific (“03. Historical -> Website 1 – Opt-in”, for instance), which is the best choice in most cases, or choose some other way that will help you be as organized as possible. As in the example, you can use the hyphen to make it easier to read.

TIP #5 : Use Your Infusionsoft Wisely (And Sparingly)

Just because you can tag everything, doesn’t mean you have to. As useful as tagging can be, it can also create a large mess if you don’t use it in a smart way. Over-tagging could really affect the performance of some apps with more than 100,000 contacts, so be wise and think your tagging through.

Something you should do regularly is check your tags and find the ones that have zero people appointed to them. Unless they contain the word “trigger” in them – delete them. This is simple de-cluttering that’ll go a long way.

“One rule to rule them all” when it comes to tagging in Infusionsoft is: be as specific as possible so you can understand your tags later on. Add context to them and your future self will thank you for it. To keep your application organized, use the five tips above and remember – your tag list will just keep getting bigger as you keep using the application.
