Maximizing Webinar Attendance – How To Get More People To Show Up

Welcome back to the third of our four-part video series, maximizing webinar attendance, where I am going to be demonstrating and sharing with you some of the very latest tips and tricks, techniques to help you make more money from your webinars. Let's just have a quick recap of what we've learned so far.

Why Maximizing Webinar Attendance Is So Important

So in the first video, which was the introduction to creating more profitable webinars, I explained how the three stages, which is the registration, maximizing webinar attendance, and then conversions can have exponential profit increases if each stage is slightly tweaked. And we showed an example here from our first typical example where we had just six people buy from a 1,000 people who attended our webinar. And then, when we showed examples of how that would filter through in terms of conversions, then it went up by a 500% to 30 sales. So, these tweaks can make a massive leveraged improvement in your webinar campaigns and the profits associated with them.

And that's not just profits and sales, it could be you wanting to book appointments with your clients or discovery calls, whatever it might be. These strategies will work for anyone using webinars. So in yesterday's video, we looked at how to get more people to actually register for your webinar. And in today's video, which is the third out of the fourth, we're going to be looking at how to actually get more people showing up. So we've done the bit where we've tried to get as many people to register. Now, the thing which so many people get wrong is they fail or don't do a good job of actually getting people to show up.

I want to share with you today seven tips which can be used. And you can use them all, you can use some of them, use a mix of them, whatever you like, but all of them will help you tweak that attendance rate. I'm going to say it's been proven.

The More People Who Attend Your Webinars, The More Money You'll Make

The more people who watch your webinar, it will result in impacting you in a positive way, your bottom line or whatever your objective is with webinars. So, I've just listed these out here and we'll go through them very, very quickly one by one. Now, email is pretty common sense, but again, so many people do this badly. So, what we always do is suggest that you send an email confirming that they've registered for your webinar, you send them a confirmation, make sure you've got the details of the time, the date, the link for the webinar in that confirmation webinar. And then, we'd send a series of reminders about the webinar to start.

It really depends how long your webinar window is, whether it's a few days, two or three weeks. I would always suggest not going too far out with webinars. That is a sort of tip in its own right.

Your Webinar Timeline Is Critical

I like to go probably no more than a week before the date of the webinar and then promoting it hard in that week because people don't commit to things. And people might register for a webinar in a months time, but we found after extensive testing in our own campaigns and for our clients that the show rate, the attendance rates can be very, very poor if you take in two bigger windows. So I would always go for a smaller window. So again, emails, registration. Things to include are the date and time. Make sure if it's different time zones that you put different times zones in. All these things will help maximizing webinar attendance

Give some basic instructions of what people might do depending on your audience. If you've not attended a webinar before, tell them what to expect. Just common sense things. But so many people get this wrong. And again, send reminders just before the webinar and overlaid with that is SMS reminders.

TIP : Don't Rely 100% On Email

Again, what I like to do is always ask for a mobile number. Might just decrease the registration slightly in terms of… but I've always found you get a much better quality of people registering and it more than makes up for the attendance rates.

Another strategy for maximizing webinar attendance is using SMS plus voice broadcast.

Ringless Voicebroadcasts – Our Secret Weapon

And we use ringless voice broadcast, which is basically when someone registers, if you have the expert, like let's use me as an example in my own business. If I was holding a webinar or something, when someone registers, I prerecord a message which should go sort of triggered automatically to them. So, it'd go straight to their mobile phone.

It wouldn't ring, but it would leave a message and the message would say something like, “Hey, Damien Qualter here. I'm so glad you've registered for our webinar on Thursday. Really looking forward to sharing some fantastic strategies.” Hardly anyone is doing this and the amount of times I'd be a very rich man if the number of times people have actually got in touch with me either before the webinar or afterwards, but they'll say, “It's so nice of you to give me a call to remind me about the webinar or to thank me for registering.” Dead easy to set up, again with Infusionsoft or any decent CRM. This is quite simple, but our preferred CRM of choice is obviously Infusionsoft.

Mix Things Up & Appeal To All Modalities

Next one is a worksheet, which worksheet, pronounce that word, is… Again, a really good tactic is when people register, give them a worksheet. And this could be a simple one page PDF with just fill in the blank type thing. So again, it focuses on people when they attend to do stuff. Also, you can remind people if it's a live webinar, the time and date of the webinar. So again, they print this out which also has the date and time of your webinar. Another reminder for the webinar. And I've just thought of another one down here.

Use Dynamic Facebook Retargeting For Maximizing Webinar Attendance

So we've got worksheets, Facebook ads. Again, a very good strategy is when people register, especially with fixed date webinars is then trigger ads to show to them to remind them of the event. Always a good tip with this, if you've got a limited window with them, set your Facebook ads quite well in advance. Get them approved and then just pause it. Sometimes if you've got a narrow window, maybe two or three days to to really push your webinar when you're promoting it, Facebook can take time to approve ads, so it's far better to get them approved early, pause them, and then have them ready for when you need to trigger them on. So again, another tip for you there.

I can't even remember what that one is. I'll come back to that. I'm trying to do these in code. I can't even remember. It's such a good code. I can't remember it.

Should You Offer A Replay Of The Webinar?

Replay. This is a strategy you can use. Again, test this in your own campaigns. Do you say to people, “We're not going to offer a replay.” Again, that can maximizing webinar attendance.

Indoctrinate Using Video

Next one is indoctrination sequence. That is when people register. Again, it depends on the window of time before people register or when people register to the actual event. You may want to follow up with them after they've registered with one or two videos spread over a couple of days, which are giving us some cool tips of stuff they're going to learn on the webinar. Again, it really works well. It depends on the type of webinar you are doing and the timeframe you've got of them. Number eight, which is the one I nearly forgot about, I'm still trying to think what number five is, but I'll come back to you on that, is calendar links.

Use Calendars To Remind People To Attend

When someone books a webinar, it's really important and a really good strategy is to provide things like the iCal or GCal links for them to put a reminder in their online calendars. Other things I can think of, again, some of these are coming to us which we've used is white list instructions. It's very important that you tell people… Probably on the thank you page, please white list our email and get them to do it straight away. Again, if you're going to get your emails delivered, the more people who see your emails, chances are the more people are going to register for your event.

So, I'm just trying to think what number five was. I can't think at all. But I will remember that for our next video. I'll come back to that. Sorry, my mind's gone blank. I'm trying to put these in code, but there's so many different things.

I just want to share some of the main ones, but I will definitely remember that for the next video, the final video, which is basically we've got people to register. We've got people to attend now. How do we get that to convert to our bottom line? How do we generate more sales, more appointments, whatever our conversion goal is?
